The Simple Hourly Rate Formula

For a small service business or freelancer, the useful question is not how many hours you work. It is how many hours you can realistically bill. Sales calls, proposals, admin, revisions, collections, learning, and quiet weeks are real costs even when clients do not pay for them directly.

Minimum hourly rate = monthly revenue target plus buffer, divided by billable days, divided by billable hours per day.

Example Calculation

If a small business needs AED 18,000 per month, adds a 35% business buffer, expects 12 billable days, and can bill 5 hours per day, the needed monthly revenue is AED 24,300. Divide that by 60 billable hours and the minimum hourly rate is AED 405.

That number is a floor, not a promise the market will accept it. Use proof, niche, urgency, scope, and client value to decide whether the quote should be higher or lower.

What to Put in the Buffer

  • Software, tools, subscriptions, and admin systems.
  • Sales time, proposals, calls, and follow-ups.
  • Accounting, licensing, professional support, and tax planning.
  • Sick days, holidays, training time, and empty pipeline weeks.
  • Late payment risk and unpaid revisions.

Turn the Rate Into a Quote

An hourly rate is not enough. Before sending a quote, define what is included, what is excluded, when payment is due, how many revision rounds are included, and what out-of-scope work costs.
