Quote template fields
A good freelance quote should make the buyer's decision easier and make scope creep harder. Include these fields before you send a price:
- Quote number, quote date, expiry date, and client name.
- Your name, business name if applicable, email, phone, and payment details.
- Short project summary written in the client's language.
- Deliverables, file formats, quantities, and deadlines.
- Price by milestone, project, day, hour, or monthly retainer.
- Payment schedule, deposit amount, and final payment trigger.
- Revision limits, meeting limits, and what counts as out-of-scope work.
- Client responsibilities such as content, approvals, access, assets, and feedback dates.
- Assumptions, exclusions, third-party costs, and acceptance wording.
Use a quote before an invoice
A quote is the pre-work agreement structure. An invoice is the payment request after the quote, scope, or milestone has been accepted. If the quote is vague, the invoice fight is usually just waiting politely in the corner.

Price structure examples

VAT and tax-invoice caution
Do not copy VAT language into a quote just because another template has it. The Federal Tax Authority maintains official tax-invoice pages and VAT guides, and registered businesses have VAT filing/payment obligations under FTA guidance. Use those official sources for tax-specific decisions.
